Submitting Guest Addressing
If you are ahead of the game and have your list ready to go you can submit it along with your new order to orders@stationeryworks.com. Otherwise you can email it to the designer working on your order. We ask that lists are supplied within 3 business days after approving an order. Please ensure the total number of names on the list does not exceed the quantity especially if the order has already been sent to production. We can accept excel files and google sheet files. Our template is linked above.
Guest Addressing Proofs
We offer the additional service of a full guest list proof showing the setup of each envelope. Each guest addressing proof is $50 and must be requested in writing, preferable on your order form. This is not an automatic service. Guest addressing proofs are created and sent after an order is approved.
Submitting Full Guest Addressing Print Ready Files
- We need a PDF file with pages sized to the envelope size with the flap open
- All fonts should be outlined
- If the return address is being printed digitally, we need a page at the end with just the return address on it.
Layout and Spread Sheet Tips
- When designing the layout of guest addresses keep in mind readability and accuracy is what is most important to the post office. Here are a few design tips to keep in mind:
- Script fonts are not recommended for the address portion as they can be difficult to read, especially fonts with excessive flourishes
- Guest names are typically a larger point size than the address. If they are overly large, many of your guest names will need to be split into two lines.
- If you plan to add any additional design elements to your envelopes, a margin of .5” is needed.
- A well filled out spreadsheet is key for the best guest addressing results. Using our template helps provide a higher level of accuracy. It has additional notes about each column of text. Here are a few things to keep in mind when filling it out:
- Each column represents a line of text on the envelope. If you want someone's name to be on line two, make sure you put them in column two.
- If you would like the states to be spelled out on your envelopes, make sure they are spelled out in your spreadsheet.
- If your design is done in all lowercase letters, make sure your spreadsheet is in all lowercase letters.
- Do not worry about the leading zeros dropping out of your zip codes, we use a formula to add them back in later.
- There are some limitations when it comes to guest addressing
- We are not able to adjust kerning/tracking between individual characters.
- We can not change the font of just the numbers that are in the address portion.
- We can not change individual character glyphs
The guest addressing team manually looks at each list and envelope, should they notice a glaring error such as a misspelled state they will correct it. However, there is no guarantee that they will notice all errors. It is up to you to review your lists before submitting them.
International Addresses
Our guest addressing template has a tab for international addresses. We ask that you fill the columns out as labeled. The team will use their master guide to correct the setup according to the USPS recommended layout for each country. If you are not using our template, we ask that you put all your international guests at the bottom of your list.
How to address mail to Washington, D.C.
Washington goes in the city column and D.C., or District of Columbia, goes in the state column.
